HubSpot Free — the default

HubSpot's free CRM is genuinely usable forever for a small team. Contact management, deal pipelines, email tracking, basic automation, document tracking, meeting scheduler — all included. You only need to start paying when you want sequences (Sales Hub Starter at $20/seat/month) or marketing automation.

The trap: HubSpot will try hard to upsell you. Resist until you actually feel a pain that paid features would fix. We've seen too many startups paying $800/mo for Marketing Hub Pro and using maybe 10% of it.

Pipedrive — for sales-led teams

Pipedrive is opinionated software. It thinks sales = pipeline = moving deals through stages, full stop. If that matches how you sell, it's the fastest CRM to deploy and the easiest to train new reps on. If you need marketing automation or ticket support in the same tool, look elsewhere.

Pricing starts at $14/user/month for the Essential tier (annual billing). The Advanced tier ($29/user/month) is where it gets genuinely competitive against HubSpot.

Zoho CRM — the Swiss Army knife

Zoho's pricing is unreasonably good — $14/user/month for a CRM with workflow automation, mobile apps, and integration with the rest of the Zoho suite (Books, Mail, Desk). The UI is dated and the polish isn't there, but for a budget-constrained team it's hard to beat on functionality per dollar.

Salesforce Starter — when you need the Salesforce name

Salesforce launched a Starter tier at $25/user/month aimed at small business. It works. The setup is faster than legacy Salesforce. The reason to pick it is mostly future-proofing — if you know you'll be a 200-person company in 3 years and don't want to migrate again, start here.

The CRM that wins is the one your sales reps actually update. Pick the tool with the lowest friction for your team's habits, not the one with the most features. A pristine pipeline in a tool nobody uses is worth less than a slightly messy pipeline in a tool everyone updates daily.
